Job Description
Overview We are seeking a dynamic and organized Secretary/Receptionist to join our team and serve as the welcoming face of our organization. This vital role combines front desk management with administrative support, ensuring smooth daily operations and exceptional client interactions. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to foster a professional and friendly environment. Bilingual abilities are highly valued to assist a diverse clientele, and proficiency in office management tools is essential for success. Duties Greet visitors, clients, and vendors with professionalism and warmth, providing excellent customer service at all times Answer multi-line phone systems promptly using proper phone etiquette, directing calls efficiently to the appropriate departments or personnel Manage front desk operations, including handling incoming mail, scheduling appointments, and maintaining visitor logs Perform clerical tasks such as data entry, filing, proofreading documents, and preparing correspondence using Microsoft Office (Word, Excel) and Google Workspace tools Organize and maintain office supplies, files, and records to ensure easy access and optimal workflow Assist with calendar management and scheduling for staff or executives, coordinating meetings and appointments seamlessly Support basic bookkeeping tasks such as invoicing or expense tracking when necessary Provide administrative support including typing reports, proofing documents, and supporting client communication efforts Experience Proven office management or administrative experience in a professional setting Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and data entry skills Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Prior experience answering multi-line phones and managing front desk operations with professionalism Demonstrated customer service skills with the ability to communicate clearly and courteously with clients and team members Bilingual capabilities are preferred to support diverse client needs Personal assistant or calendar management experience is a plus for coordinating schedules efficiently Join us in creating a welcoming environment where organization meets exceptional service!
