Summary:
Our Front Desk Associate is the "voice and face of Chapel Hill Country Club" and possesses excellent customer service and organizational skills, has a keen attention to detail and the ability to multi-task. The front desk associate is an energetic individual with a positive attitude and professional demeanor. Being in a key central position of our Club, the associate must have a high sense of urgency, think quickly, and possess strong interpersonal and verbal communication skills to interact with all areas of Club, Staff and Membership. Our Front Desk Associate provides exceptional, courteous, and respectful customer service to our members and teammates consistently.
Essential Functions:
Receive Members and their guests with a prompt, hospitable and respectful attitude, assisting them with a variety of services including making reservations, answering questions, and assisting with directions. Greet vendors and visitors to the Club promptly and professionally assisting them with their business and directing them to their destination. Operate the phone and transfer system to receive incoming all calls and route calls to the appropriate destination for approximately 15 staff. Handle confidential information in a professional manner. Take and confirm dining and special event reservations and provide information to departments about these events. Make confirmation calls to Members regarding reservations. Attend BEO Meeting and coordinate with the events office for administrative event support. Prepare and distribute daily/ special event reports. Sort, process, and distribute internal and external mail and packages. Maintain the appearance of lobby, front office, and coat room. Maintain inventory and stock of all office supplies. Request and place orders as needed. Provide clerical and administrative support to various departments as needed. Provide administrative assistance to clubhouse leadership and assist with special projects and other duties as required. Maintain consistent knowledge of club related services, events, and updates on a continual basis; thorough understanding of club marketing materials.
Hours of operation purposed:
o Tuesday - Friday (9am to 8pm) o Saturday - Sunday (9am to 3pm)
Requirements :
Education Bachelor's degree from a four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience Prior Experience Prior work in retail, hospitality, or front-facing support roles is highly preferred. Must be honest, respectful, dedicated, ethical, caring, have a positive attitude and a spirit to serve Must have excellent time-management skills, be detail-oriented, and have strong follow through skills Must possess a proven track record of providing personalized service to members and guests. Must possess exceptional communication, interpersonal, administrate, and member service skills Must be open to feedback; growth and development Language, Communication & Technological Skills Computer literate, including Microsoft 365, Adobe Acrobat, Canva Ability to read and interpret multiple documents such as safety rules, operating instructions, reports, procedure manuals Ability to write business correspondence, member communication, and procedure manuals Ability to effectively present information and respond to questions from groups of managers, employees, members, and public. Ability to respond effectively to the most sensitive inquiries or complaints Club Software experience (NorthStar, Jonas, CE, Etc.) preferred.
