Job Summary We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and clients, manage front desk operations, and provide comprehensive administrative support to ensure smooth office functioning. Responsibilities Greet visitors, answer multi-line phone systems, and direct calls efficiently using professional phone etiquette Manage front desk operations including scheduling appointments, handling mail, and maintaining visitor logs Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office applications Assist with office management duties including supply inventory, equipment maintenance, and organization of files Support client communication through email correspondence, appointment scheduling, and follow-up activities Utilize QuickBooks for basic bookkeeping tasks such as invoicing and expense tracking when necessary Provide clerical support including word processing, proofreading documents, and maintaining calendars for staff or executives Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry tools Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Excellent customer service skills with a friendly demeanor and professional phone communication abilities Technical proficiency in office management software and computer literacy across various platforms Bilingual capabilities are highly desirable to assist diverse client needs effectively Experience with office management tasks such as supply ordering, calendar management, and document proofreading Prior clerical or administrative experience in a medical or general office setting is preferred Knowledge of QuickBooks or similar accounting software is a plus for handling financial transactions Join us to be part of a vibrant team dedicated to delivering exceptional support while advancing your administrative career.
