Duties Greet visitors and clients warmly, ensuring they feel valued and comfortable upon arrival Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle data entry tasks accurately using spreadsheets, word processing, and productivity software such as Microsoft Office and Google Workspace Maintain organized filing systems and manage office supplies inventory to support daily operations Assist with calendar management and appointment scheduling for staff or medical/dental professionals as needed Support bookkeeping activities including basic invoicing and record keeping using QuickBooks or similar software Provide general administrative support such as proofreading documents, managing correspondence, and supporting client communication efforts Skills Proven experience in office management, clerical duties, or front desk roles with strong organizational skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and data entry tools Familiarity with multi-line phone systems and phone communication best practices Bilingual abilities are highly desirable to serve diverse client needs effectively Strong customer service skills with a professional demeanor and excellent phone etiquette Ability to handle multiple tasks efficiently while maintaining attention to detail and productivity software proficiency Experience in medical or dental receptionist roles is a plus, along with personal assistant experience or calendar management skills Knowledge of bookkeeping processes such as invoicing or basic bookkeeping using QuickBooks is advantageous Demonstrated time management skills with the ability to prioritize tasks in a fast-paced environment Join us in creating a positive first impression for everyone who walks through our doors!
