Job Description
Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to be the welcoming face and efficient support system of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, coordinate administrative tasks, and provide exceptional customer service. Your proactive approach and strong organizational skills will ensure smooth daily operations, creating a positive experience for visitors, clients, and team members alike. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems with professionalism, directing calls accurately and courteously Maintain a clean, organized front desk area and manage incoming/outgoing mail and packages Perform data entry, filing, and document proofreading to ensure accuracy and confidentiality Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks Schedule appointments, manage calendars, and coordinate meetings efficiently using calendar management tools Support office management activities such as inventory control, supply ordering Provide customer support via phone or email, addressing inquiries with excellent phone etiquette and professionalism Assist with clerical duties such as photocopying, scanning, and maintaining organized filing systems Contribute to a positive office environment through effective time management and organizational skills Experience Prior office experience in administrative or clerical roles preferred but not required; enthusiasm to learn is valued Proven experience in handling multi-line phone systems and front desk operation Familiarity with Microsoft Office (Word, Excel Outlook), Google Workspace, data entry, proofreading is highly desirable Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Excellent customer service skills with a professional demeanor and strong phone etiquette Experience in medical or dental receptionist roles is advantageous but not mandatory; training will be provided for specific industry needs Personal assistant or office management experience can enhance your ability to support various administrative functions effectively Join our team as a Receptionist/Administrative Assistant where your energy, organization, and dedication will make a meaningful impact every day.
