Job Description
We are seeking a dependable, organized and personable Medical Front Desk / Administrative Assistant to join our private mental health practice. This position plays an important role in creating a welcoming, professional experience for both new and established patients while helping ensure the smooth day-to-day operation of our practice. This individual will be responsible for managing front desk responsibilities across two office locations as well as overseeing the initial new-patient intake process. The ideal candidate is highly organized, comfortable communicating with patients by phone, text, and email, and able to manage multiple responsibilities while maintaining professionalism, accuracy, and patient confidentiality. Responsibilities Manage front desk operations for two office locations Answer incoming calls, texts, and emails and respond to patient inquiries Greet and check in patients in a friendly and professional manner Manage new patient requests from initial inquiry through scheduling Collect new patient demographics, insurance information, and required paperwork Create and maintain accurate patient charts in the electronic health record (EHR) system Schedule, confirm, reschedule, and cancel appointments Communicate with patients regarding appointments, paperwork, and other necessary information Route patient questions or concerns to the appropriate provider or staff member Maintain patient confidentiality and follow HIPAA requirements Provide general administrative support to keep both offices organized and running smoothly Qualifications Previous medical, mental health, healthcare, or administrative/front desk experience preferred, but not required Experience with EHR/EMR systems preferred Strong computer, communication, and organizational skills Friendly, professional, and compassionate when communicating with patients Ability to multitask, prioritize, and work independently in a busy environment Dependable, detail-oriented, and able to maintain patient confidentiality Ideal Candidate The ideal candidate is someone who takes ownership of their responsibilities and does not need constant direction to stay organized and productive. Because this position serves as an important point of contact for both new and established patients, we are looking for someone who is friendly, compassionate, dependable, detail-oriented and comfortable managing multiple priorities at once. Experience working in a mental health or medical practice is strongly preferred, but we are willing to consider candidates with strong administrative experience who are eager to learn.
