Job Description Seeking a friendly, detail-oriented individual to answer phones and route incoming, outgoing, and interoffice calls; greet visitors and vendors; and complete other clerical tasks as assigned. The candidate hired for this position should have strong interpersonal and organizational skills, the ability to manage customer service situations, and respond promptly to requests from co-workers and callers.
Schedule:
Full time, Monday to Friday, 8:30 am- 5:00 pm (40 hours/week)
Job Responsibilities:
Maintain all tasks related to Reception Area Greet and assist all visitors in a professional and friendly manner Uses private branch exchange (PBX) switchboard to connect interoffice and house calls Answers, screens, and routes outside calls Supplies information to callers and records messages Keeps record of all incoming calls Operates paging system to relay in-house announcements or call individuals to phone Receives visitors, obtains name and nature of business, and will call individuals for availability Prepare a monthly relief switchboard schedule Incoming mail Outgoing mail- weighs & puts appropriate postage on all outgoing mail Incoming / outgoing faxes Organize sales orders and acknowledgments (fax) Prepare purchase orders for mailing and filing Complete and mail W-9 forms when requested by customers/vendors Organize and mail collection letters Match invoices to file Put files in numerical order Mail/fax/email statements Perform clerical duties such as data entry Assist Accounting staff with sending invoices to clients Prepare daily ship list Enter sales orders into Infor twice a day Prepare and submit electronic invoicing online to specified customers Compile credit information for new customers (credit ratings and D&B) Work on and prepare invoices Additional responsibilities may be assigned
Skills/Qualifications:
- Proficient in Microsoft Office Suite (Word, Outlook, Excel)
- Strong organizational skills with attention to detail
- Excellent communication and customer service skills
- Computer literacy and ability to learn new software quickly
- Prior experience in a receptionist or administrative role
- Knowledge of basic office procedures and phone etiquette
