Job Description
Front Desk Receptionist Job Summary We are seeking a professional, dependable, and customer-focused Front Desk Receptionist to serve as the first point of contact for our insurance agency. In this role, you will welcome clients, manage front desk operations, answer incoming calls, and provide administrative support to ensure the office runs efficiently. The ideal candidate is organized, personable, detail-oriented, and committed to delivering exceptional customer service while maintaining the confidentiality of client information. Responsibilities Welcome clients and visitors with a friendly, professional demeanor. Answer and manage a multi-line phone system, directing calls and taking accurate messages. Receive and process incoming mail, email, and office correspondence. Maintain accurate client records through data entry and document management. Assist clients with basic policy-related inquiries, payments, document requests, and direct them to the appropriate licensed team member when necessary. Collect, scan, and organize insurance documents while maintaining confidentiality. Prepare, proofread, and distribute letters, forms, and other agency communications. Maintain organized digital and paper filing systems. Support agency staff with administrative and clerical tasks as needed. Provide exceptional customer service and help build lasting relationships with clients. Qualifications Previous receptionist, administrative assistant, customer service, or office experience preferred. Excellent verbal and written communication skills with professional phone etiquette. Bilingual (English/Spanish) preferred to better serve our diverse client base. Strong data entry skills with attention to detail. Ability to prioritize tasks and multitask in a fast-paced environment. Ability to handle confidential client information with professionalism and discretion. Experience with agency management systems, AMS360, etc. is a plus. Insurance industry experience is a plus but not required—we are willing to train the right candidate.
