$45,000-$50,000 About the Role Madison-Davis is looking for a polished, organized, and dependable Receptionist / Office Coordinator to support our New York City office. This person will be the first point of contact for candidates, clients, employees, and visitors coming into the office while also providing day-to-day administrative support to our partners and internal teams. We are looking for someone who takes pride in keeping things organized, communicates well, and is comfortable jumping between scheduling, office coordination, administrative projects, and whatever else needs to get done that day. This is an entry-level opportunity with significant exposure to the business and our leadership team. A college degree is not required. Responsibilities Manage the front desk and serve as the first point of contact for visitors, candidates, clients, and employees Greet interview candidates and notify the appropriate recruiter or hiring manager when they arrive Coordinate and schedule meetings, interviews, and calls for partners and other members of leadership Manage calendar changes, interview confirmations, conference room scheduling, and other scheduling needs Help keep the NYC office organized and running smoothly throughout the day Monitor office supplies and coordinate ordering as needed Assist with incoming mail, packages, deliveries, and general office correspondence Prepare conference rooms and meeting spaces for interviews, client meetings, and internal meetings Assist recruiters and leadership with administrative projects that would otherwise take time away from recruiting and client-facing work Support candidate and client portal administration, including entering information, organizing submissions, monitoring updates, and flagging items that require follow-up Help maintain organized records, spreadsheets, trackers, and internal systems Assist with data entry and basic system cleanup as needed Help coordinate office events, meetings, lunches, and other team activities Support onboarding logistics for new employees when needed Handle miscellaneous administrative requests and special projects for leadership Identify things around the office that need attention and take ownership of getting them handled What We're Looking For Friendly, professional, and comfortable interacting with a wide range of personalities Extremely organized and detail-oriented Strong communication skills, both written and verbal Comfortable managing multiple requests and changing priorities throughout the day Reliable and able to work independently without needing constant direction Strong sense of urgency and willingness to jump in wherever needed Comfortable working with Outlook, Microsoft Office, spreadsheets, and learning new systems Previous receptionist, administrative, customer service, hospitality, or office experience is helpful but not required College degree is not required What Success Looks Like The right person will become someone the entire office can rely on. Candidates are greeted professionally, interviews and meetings are organized, administrative work does not fall through the cracks, the office stays organized, and recruiters and partners are able to spend more of their time recruiting, selling, and working with clients instead of handling routine administrative tasks.
