Job Description

Overview We are seeking a dynamic and friendly Front Desk Receptionist to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Duties:
Answer a high volume of incoming calls professionally and efficiently, assisting patients and directing calls as appropriate. Monitor and respond to voicemail messages and office emails in a timely manner. Schedule patient follow-up visits while maintaining provider schedules. Check patients in and out for appointments, ensuring demographic and insurance information is accurate and up to date. Collect patient copayments, balances, and other payments while maintaining accurate records. Prepare and process patient letters, forms, and other documentation as requested by providers. Assist providers with administrative tasks, including coordinating patient communications and facilitating office workflows. Call in prescriptions and process prescription refill requests in accordance with provider instructions and office policies. Scan, upload, fax, and file patient documents while maintaining compliance with HIPAA and confidentiality standards. Manage incoming and outgoing faxes, ensuring documents are routed appropriately and processed promptly. Maintain accurate patient records within the Electronic Health Record (EHR) system. Provide exceptional customer service by addressing patient inquiries with professionalism, empathy, and discretion. Collaborate with clinical and administrative staff to ensure efficient daily operations and a positive patient experience. Perform general administrative and clerical duties as needed to support the practice. Qualifications Proven experience in office administration or front desk reception roles with strong organizational/multitasking skills CMA Certification not required but prefered Proficiency in Microsoft Office suite (Word, Excel), spreadsheets, and general computer literacy Familiarity with EHR systems (CHARM) Excellent phone communication skills and phone etiquette Bilingual abilities are highly desirable but not required to support diverse client interactions Strong customer service orientation with the ability to handle inquiries professionally and efficiently Demonstrated ability to manage time effectively in a fast-paced environment while maintaining attention to detail Familiarity with clerical procedures, data entry, and technical proficiency in productivity software At Wayne Behavioral Service, our front desk team plays a vital role in creating a positive experience for every patient who walks through our doors or contacts our office.
