In this energetic role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer support. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive experience for visitors, clients, and team members alike. Fluency in two languages is essential to effectively communicate with diverse audiences and foster an inclusive environment. Responsibilities Greet visitors and clients warmly, ensuring a professional and friendly first impression. Manage multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette. Handle all clerical tasks such as data entry, filing, proofreading, and maintaining accurate records using office software. Support office management duties including calendar management, appointment scheduling, and personal assistant responsibilities. Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and QuickBooks for various administrative functions. Assist with bookkeeping tasks such as invoicing, billing, and basic bookkeeping to support financial accuracy. Maintain organized workspaces and ensure all office supplies are stocked and properly managed. Provide customer support by responding promptly to inquiries and assisting with administrative needs in a bilingual capacity. Support team members with administrative tasks like proofreading documents, data entry, and filing important records. Ensure timely completion of administrative duties through effective time management and organizational skills. Experience Prior experience in front desk or reception roles within an office environment is highly preferred. Demonstrated clerical experience including data entry, filing, and document proofreading. Proven ability to operate multi-line phone systems with professionalism and efficiency. Experience supporting office management functions such as calendar coordination or personal assistance is advantageous. Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace applications, QuickBooks, and general office software tools. Bilingual fluency in Spanish is required to serve diverse client needs effectively. Excellent organizational skills combined with the ability to prioritize tasks efficiently for smooth daily operations.
