SUMMARY Professionally handles all contact with clients, staff and visitors at the front desk, either in person or via phone. Performs receptionist and clerical duties as outlined below in addition to providing support to the rest of the team Management Team.
RESPONSIBILITIES AND DUTIES
include but are not limited to the following. Other duties may be assigned. 1. Professionally and courteously receives all incoming calls (answer phones in a timely manner) by the (third ring), able to operate a multi-functional, 8-line phone system, routing calls to appropriate personnel, records messages accurately during working hours. 2. Greets/screens all clients/visitors/guests and provides factual information regarding treatment or unit activities and functions, in person and on the telephone. 3. Receives and distributes all mail, processes all outgoing mail, daily. 4. Composes standard correspondence from drafts with brief instruction. 5. Prepares periodic special reports using word processor and/or computer terminal, following established formats, menus, spreadsheets and other forms, using programmed software and typing at a rate sufficient to perform assigned duties, making corrections as required. Prioritize work and meet deadlines. Organize and maintain accurate alphabetic/numeric files and records. 6. Receipt and daily deposit preparation. 7. Responsible for monthly office supply orders and keeping an accurate inventory. 8. Responsible for assisting with the staff (facsimile, copies, distributes correspondence, memoranda, reports and other related materials) any other duties as requested by Senior Management Staff. 9. Keep reception area, waiting room and break room orderly. Make coffee throughout the day. 10. Report client issues and internal challenges to supervisor. 11. Assist with drug testing./ COVID & HIV
