Job Summary We are seeking a dynamic and organized Medical Office Receptionist & Assistant Manager to join our healthcare team. This vital role combines front-desk responsibilities with managerial oversight, ensuring smooth clinic operations, exceptional patient service, and effective administrative support. Duties Greet patients and visitors warmly, ensuring a positive first impression while managing appointment scheduling and patient check-in/out processes using advanced EMR (Electronic Medical Records) and EHR (Electronic Health Records) office mate and exam writer. Oversee daily clinic operations, including managing patient flow, coordinating with healthcare providers, and ensuring compliance with HIPAA and health regulation policies. Supervise staff, providing guidance on medical billing, coding accuracy, and medical records management to optimize practice efficiency. Handle fiscal management tasks such as budgeting, financial reporting, and overseeing medical billing processes to ensure revenue cycle integrity. Maintain accurate medical records, ensuring confidentiality and compliance with HIPAA regulations while managing electronic health records systems like Eaglesoft or Managed Care platforms. Support human resources functions including staff scheduling, performance evaluations, and training new team members in customer service excellence and office procedures. Monitor practice performance metrics, implement process improvements, and ensure adherence to healthcare standards. Manage practice supplies inventory, coordinate with vendors for equipment maintenance, and oversee office management duties to keep the clinic running smoothly. Requirements Proven experience in a medical office setting with strong familiarity of EMR/EHR. Demonstrated supervisory or team management experience within a healthcare environment. Knowledge of healthcare management practices including billing, coding (medical terminology), compliance (HIPAA), and health regulation policies. Strong fiscal management skills including budgeting, financial reporting, and practice management software proficiency. Excellent managerial communication skills paired with outstanding customer service abilities to support both staff and patients effectively. Experience in medical administrative support roles involving medical records handling and electronic health record management. Ability to multitask efficiently in a fast-paced clinic setting while maintaining attention to detail. Familiarity with healthcare staff management practices.
