Responsibilities Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive experience from the moment they arrive Manage multi-line phone systems efficiently, directing calls accurately and courteously while providing exceptional customer support Handle all front desk duties including answering inquiries, scheduling appointments, and maintaining visitor logs Utilize office management software and productivity tools such as Microsoft Office, Google Workspace, spreadsheets, and data entry applications to organize information effectively Maintain organized filing systems, process incoming and outgoing correspondence, and support clerical tasks such as proofreading and document preparation Assist with calendar management and appointment scheduling for staff or medical/dental offices as needed Support office operations by managing supplies inventory, performing basic bookkeeping with QuickBooks, and ensuring overall office cleanliness and organization Requirements Proven experience in office management, administrative support, or as a front desk receptionist in a professional setting Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with productivity software Excellent phone etiquette skills with experience handling multi-line phone systems and client communication Bilingual abilities are highly desirable to serve diverse client needs effectively Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment Experience with data entry, filing systems, bookkeeping (QuickBooks preferred), and general clerical tasks Exceptional customer service skills with a friendly demeanor and professional appearance Ability to manage time effectively while prioritizing tasks such as calendar management or client support Technical proficiency in office equipment such as printers, scanners, and basic troubleshooting of computer issues is preferred Join us in creating a welcoming environment where professionalism meets efficiency!
