Job Description
Qualifications:
High School diploma required; Associate's degree in Secretarial Science or a related field preferred Minimum of two (2) years of secretarial experience, preferably in a health care setting Professional, personable, and well-groomed appearance Must have Excellent verbal and written communication skills Strong organizational and multitasking abilities Computer literate with proficiency in general office software applications (Word, Excel, PCC)Working Schedule:
Full time position up to 40 hours each week Normal working hours are: 8:00 am - 4:30 pm Monday throughFriday Responsibilities and Duties:
Responsible directly to the Assistant Administrator who in turn is responsible to the Administrator Answer and direct incoming phone calls; schedule appointments for residents as needed Maintain a clean, organized, professional front desk and work environment Perform clerical and record-keeping duties for both staff and resident files, ensuring accuracy and compliance Manage front desk operations, including assisting residents, families, visitors, and employment applicants Serve as a communication liaison between residents, families, and staff, ensuring efficient and respectful interactions Act as a central communication point for the Personal Care Department regarding resident care, activities, and location Receive and appropriately route messages and requests from residents' families to nursing staff or appropriate departments Serve as a communication hub during emergency situations Accurately record and deliver messages to residents and staff Maintain up-to-date resident census, including tracking resident whereabouts (in/out for the day) Keep current records of resident room assignments, contact information, and staff/physician phone numbers Prepare and type routine correspondence and documentation Assist with inventory tracking, payroll support tasks, and other general office procedures Ensure adequate supply levels of forms, materials, and office equipment File incident and accident reports and follow up as directed Participate in employee orientations, in-service trainings, fire drills, and emergency preparedness procedures Perform other related duties as assignedPay:
