Job Description

We are looking for an experienced Front Desk Coordinator to support daily office operations in New York. This long-term contract opportunity is ideal for someone who enjoys creating a strong first impression, managing front desk activity, and assisting with a range of administrative tasks. The role requires strong communication skills, attention to detail, and the ability to keep shared spaces organized and welcoming.
Responsibilities:
  • Welcome visitors, answer incoming inquiries, and guide guests to the appropriate staff or meeting area.
  • Receive, sort, and distribute incoming mail and coordinate outgoing shipments as needed.
  • Prepare conference rooms before meetings by arranging refreshments, snacks, and other requested materials.
  • Monitor shared meeting spaces and the reception area to ensure they remain tidy, stocked, and well maintained throughout the day.
  • Coordinate food orders for meetings or office needs when requested.
  • Maintain office and supply storage areas, track inventory levels, and place replenishment orders as needed.
  • Support administrative workflow through light filing, record upkeep, and accurate data entry.
  • Create and manage shipping labels and assist with courier or package deliveries.
  • Use Microsoft Office tools to complete clerical tasks and support day-to-day office coordination.
