We have achieved successful resolutions in some of the most challenging cases in the industry, including 9/11 World Trade Center litigation, Child Victims Act, mass torts, pharmaceutical drug litigation, product liability litigation, environmental litigation, employment and labor law, medical malpractice, and personal injury. Position Overview We are seeking a reliable, professional, and highly motivated Receptionist to join our dynamic team. As the first point of contact, you will play a crucial role in shaping our client experience. The ideal candidate is exceptionally organized, detail-oriented, and thrives in a vibrant, fast-paced environment.
Key Responsibilities Client Experience:
Greet clients and visitors warmly to create an exceptional, positive first impression.
Communication Hub:
Answer and route incoming switchboard calls promptly, delivering accurate messages via email or voicemail.
Firm Advocacy:
Maintain clear communication between the reception desk and office clientele while strictly adhering to confidentiality policies.
Calendar Management:
Coordinate schedules, book conference rooms, and maintain an accurate log of events, personnel, and visitors.
Meeting Preparation:
Manage conference room setups to ensure all reservation requests are met before scheduled meetings.
Logistics Support:
Receive, log, and direct incoming deliveries efficiently.
Administrative Assistance:
Support administrative staff and attorneys with special projects and daily tasks as needed.
Facility Aesthetics:
Ensure the reception and conference areas remain polished, tidy, and welcoming at all times.
Skills & Qualifications Experience:
Law firm or professional office experience is a strong plus.
Education:
High School Diploma or equivalent required.
Tech-Savvy:
Proficiency in Windows-based software and Microsoft Office Suite (Word, Excel, Outlook) with an ability to learn new applications quickly.
Communication:
Outstanding verbal and written communication skills paired with a professional demeanor.
Autonomy:
Self-starter capable of working under minimal supervision while maintaining a proactive, team-oriented mindset.
Client Focus:
Dedicated to providing high-quality service and exceeding client expectations.
Adaptability:
Strong ability to prioritize tasks, multi-task, and stay composed under pressure in a fast-paced environment.
