ReceptionistJob Description The Receptionist provides high-level administrative and front desk support, ensuring a welcoming and professional experience for all visitors and callers. This role manages incoming inquiries, coordinates packages and badges, maintains records and schedules, and performs a variety of clerical and administrative tasks to support executives, staff, and guests in a high-profile environment. Responsibilities
+ Greet and warmly welcome lobby guests, visitors, and VIPs, ensuring a professional first impression.
+ Direct visitors to the appropriate person or department and provide accurate information as needed.
+ Answer and manage telephone calls and console switchboard, including routing calls and taking messages.
+ Receive, log, and send packages via couriers, ensuring proper handling and timely delivery.
+ Maintain visitor logs and call records, ensuring information is accurate, organized, and up to date.
+ Issue and manage security passes and badges for daily visitors, events, and special guests.
+ Check visitors and guests into the system, verifying identities and following security protocols.
+ Maintain the schedule and equipment for boardrooms, ensuring rooms are prepared and ready for meetings.
+ Perform general clerical duties including typing, filing, photocopying, binding books, and preparing mailers.
+ Provide administrative support to executives and staff, including handling front desk office duties and assisting with day-to-day needs.
+ Support event-related activities by managing badging and check-in processes for attendees.
+ Handle C-suite and high-profile guest interactions with discretion, professionalism, and excellent customer service.
+ Keep information organized and confidential, adhering to privacy and security guidelines.
+ Learn and adapt quickly to new processes, tools, and procedures to support evolving front desk operations. Essential Skills
+ Strong verbal and written communication skills to interact effectively with visitors, executives, and colleagues.

+ Ability to multitask and manage several front desk and administrative activities simultaneously.
+ Ability to work independently and manage time effectively in a busy reception environment.
+ Strong organizational skills with attention to detail when maintaining logs, records, schedules, and documents.
+ Ability to keep information organized and confidential, demonstrating discretion and reliability.
+ Previous experience using computer applications such as Microsoft Word, Excel, and PowerPoint.
+ High school diploma or equivalent. + 0-2 years of experience in reception, front desk, customer service, or administrative support roles. Additional Skills & Qualifications

Work Environment This role is based at a high-profile front desk and lobby area, serving executives, staff, visitors, and occasionally celebrities and other VIP guests. The Receptionist works on-site in a corporate setting, using technologies such as a telephone console switchboard, visitor management systems, and standard office software including Microsoft Word, Excel, and PowerPoint. The environment is fast-paced and service-oriented, with frequent interaction with C-suite leaders and event attendees. Professional attire and a polished appearance are expected to reflect the high standards of the workplace. The Receptionist spends most of the day at the front desk, greeting guests, answering calls, managing badging and security passes, coordinating courier packages, and supporting boardroom schedules and equipment, while maintaining an organized and welcoming reception area. Job Type & Location This is a Contract position based out of New York, NY. Pay and Benefits The pay range for this position is $22.00 - $22.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
