Job Description
Description We are looking for an experienced and dependable Receptionist to support daily front desk operations. This Contract position is ideal for someone who enjoys creating a welcoming office environment while balancing administrative tasks and facility coordination. The role will serve as a key point of contact for visitors, employees, and leadership, helping the office run smoothly each day.
Responsibilities:
- Manage the front desk by handling incoming calls, directing inquiries appropriately, and ensuring visitors are welcomed and assisted promptly.
- Coordinate guest check-in procedures with building security, maintain visitor records, and arrange access credentials for new employees.
- Sort and distribute incoming mail, oversee routine office support tasks, and keep shared areas organized and well-maintained in appearance.
- Monitor and replenish workplace supplies across office, kitchen, and restroom areas while maintaining clean, stocked common spaces and caring for office plants.
- Assist with onboarding activities for new hires, helping prepare the office for a smooth first-day experience.
- Provide administrative support to directors and office staff, including travel coordination, expense submission, meeting scheduling, and conference room reservations.
- Organize catering and refreshments for meetings and company gatherings, while tracking inventory for beverages and other event-related supplies.
- Support internal events and special projects, and contribute practical ideas to improve office procedures and day-to-day efficiency. Requirements
- At least 3 years of experience in a receptionist or front office support role.
- Strong capability with Microsoft Office applications, including Word, Excel, and PowerPoint, along with Adobe tools.
- Excellent verbal and written communication skills with a detail-focused and service-oriented approach.
- Proven ability to manage multiple responsibilities at once while maintaining accuracy and close attention to detail.
- Comfortable working onsite Monday through Friday and remaining at the reception desk as needed during business hours.
- Flexibility to adjust schedules, including occasional early starts or overtime when business needs require it.
- Strong interpersonal skills and the ability to collaborate effectively with employees, visitors, and leadership.
- Experience handling multi-line phone systems and general office coordination tasks in a structured office environment.
