Job Description
Overview We are seeking a dynamic and personable Front of House/Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth office management. The ideal candidate must LOVE dogs, cats AND people, be energetic, highly organized, and possess excellent communication skills. You will serve as the first point of contact for visitors and clients, handle administrative tasks with efficiency, and support various office functions to create a positive and professional environment. Duties Greet visitors and clients warmly, ensuring a positive first impression for everyone entering our office. Answer multi-line phone systems promptly, professionally, and courteously, directing calls to appropriate personnel; Taking messages as needed Manage front desk operations including; creating a welcoming, clean and organized reception area, maintaining visitor, volunteer and food pantry logs, receiving and logging donation items, assuring items are stored in their respective spaces in a timely manner, calendar management Perform clerical tasks such as data entry, printing/folding mail items as needed. Support customer service efforts by addressing inquiries, providing information, and offering support via phone or in person Maintain a clean and organized reception area while managing office equipment and ensuring smooth daily operations Qualifications Proven experience in administrative support roles with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry software (DonorPerfect experience is a PLUS) Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Demonstrated experience handling multi-line phone systems with professional phone etiquette Knowledge of office procedures such as filing, proofreading, calendar management Exceptional customer service skills with a friendly demeanor and clear communication style Ability to prioritize tasks effectively while maintaining attention to detail and accuracy Previous experience as a personal assistant or in front desk roles is advantageous Bilingual abilities are a PLUS And other duties as assigned This position requires a person who understands and supports animal welfare, supports the Mission of Humane Society of Rome and thrives in fast paced environments and understands the importance of collaborative teamwork. Work schedule for this position is in-person (not remote) Tuesday - Saturday 9:00am-5:00pm; hours may vary as needed to support the organization at events/community tabling.
