Job Description

Job Overview We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and staff, ensuring a positive and professional experience. Your responsibilities will include managing multi-line phone systems, handling administrative tasks with precision, and supporting office management functions. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive attitude to keep our front office running smoothly and efficiently. Duties Greet visitors warmly and professionally, providing exceptional customer service at all times Answer and direct incoming calls using multi-line phone systems with proper phone etiquette Manage appointment scheduling and calendar coordination for staff and executives Perform data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace tools Handle clerical tasks such as proofreading documents, managing correspondence, and organizing office supplies Support office management activities including bookkeeping with QuickBooks and basic bookkeeping procedures Assist with office management duties like maintaining cleanliness, organizing files, and overseeing general administrative support Provide bilingual support to accommodate diverse client needs when necessary Support medical or dental reception duties if applicable, including patient check-in and appointment confirmation Experience Proven office experience or administrative support role in a professional environment Prior experience working as a receptionist in medical or dental offices is highly desirable Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar) Familiarity with multi-line phone systems and excellent phone etiquette skills Demonstrated organizational skills with the ability to manage multiple tasks efficiently Clerical experience including data entry, filing, proofreading, and document management Knowledge of bookkeeping software such as QuickBooks or similar platforms is a plus Bilingual abilities to communicate effectively with diverse populations are preferred Personal assistant or office management experience that showcases time management skills Join us in creating a welcoming environment where professionalism meets warmth!
