We are seeking an experienced Front Desk Coordinator to manage patient-facing and administrative functions within our dental practice. This person will welcome patients, manage appointments, answer calls, verify insurance information, collect payments, maintain accurate patient records, and coordinate with the clinical team to ensure an organized and positive patient experience. Position Summary The Front Desk Receptionist is the first point of contact for patients and plays a central role in creating a welcoming, organized, and responsive experience. This position manages front-desk activity, patient scheduling, registration, communications, and routine administrative support while helping the office operate efficiently and professionally. Key Responsibilities Welcome patients warmly, check them in and out, and maintain a professional and orderly reception area. Answer telephone calls, emails, and patient messages promptly; route clinical questions to the appropriate team member. Schedule, confirm, reschedule, and cancel appointments while helping maintain a productive provider schedule. Register new patients and confirm that demographic, contact, insurance, consent, and medical-history information is complete and accurate. Verify dental insurance eligibility and benefits, collect required documentation, and communicate coverage information without guaranteeing payment. Collect copayments, deductibles, and patient balances; provide receipts and follow established payment-handling procedures. Review daily schedules for missing information, open time, special needs, and opportunities to improve schedule utilization. Support patient recall and reactivation efforts, including outbound calls and follow-up messages. Coordinate with dentists, dental assistants, hygienists, and administrative staff to keep patients informed and minimize delays. Maintain accurate patient records and protect confidential information in accordance with HIPAA and office policies. Assist with scanning, filing, forms, mail, supply tracking, and other front-office administrative tasks. Escalate patient concerns appropriately and help resolve routine service issues with professionalism and empathy. Follow office opening, closing, safety, compliance, cash-control, and end-of-day procedures. Required Qualifications High school diploma or equivalent. At least one year of receptionist, customer service, medical office, or dental office experience preferred. Strong communication, organization, and customer-service skills. Comfort using computers, multiline telephone systems, email, and office software; dental practice-management experience is preferred. Ability to manage multiple priorities accurately in a busy patient-facing environment. Professional judgment, discretion, reliability, and respect for patient confidentiality.
