Job Description
Job Summary We are seeking a dynamic and organized Receptionist to be the welcoming face of our organization. This energetic role involves managing front desk operations, providing exceptional customer service, and supporting office management activities. The ideal candidate will possess strong communication skills, be highly organized, and thrive in a fast-paced environment. Bilingual abilities and proficiency with office software are highly valued to ensure seamless interactions with diverse clients and team members. Duties Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued and comfortable Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette Handle incoming correspondence, including emails, mail, and packages, with accuracy and promptness Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and stored Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools Assist with clerical duties including photocopying, faxing, proofreading documents, and updating spreadsheets in Microsoft Office and Google Workspace Provide customer support by addressing inquiries promptly and professionally while maintaining excellent customer service standards Support administrative functions such as organizing meetings, managing supplies inventory, and maintaining a tidy front desk area Experience Proven experience as a receptionist or in an administrative support role within an office environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills Experience handling multi-line phone systems and providing exceptional phone etiquette Bilingual abilities are preferred to serve diverse client needs effectively Prior experience in medical or dental reception is a plus; familiarity with medical or dental office procedures is advantageous Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced setting Clerical experience including filing, proofreading, calendar management, and basic bookkeeping using QuickBooks or similar software Join our team where your organizational talents will shine!
