Responsibilities include providing a welcoming and professional reception area presence, managing the flow of callers and visitors, and performing administrative tasks to support the team/office.
ESSENTIAL FUNCTIONS
Greeting and Welcoming:
Greet and assist visitors and clients in a courteous and professional manner. Direct visitors to the appropriate person or department. Manage and monitor the visitor log.Phone and Communication Management:
Answer, screen, and forward phone calls in a timely and efficient manner. Answer all calls within two rings. Take accurate messages and ensure they are promptly delivered. Respond to general inquiries via phone, email, or in person.Administrative Tasks:
Perform clerical duties such as filing, photocopying, and scanning documents. Schedule and coordinate appointments, meetings, and conference room bookings. Maintain office supplies inventory and reorder as needed. Prepare welcome bags for new clients.Mail and Package Handling:
Receive, sort, and distribute incoming mail and packages. Prepare and send outgoing mail and packages.Office Coordination:
Support various departments with administrative tasks as needed. Assist with organizing company events and meetings; order food as needed.Compliance and Security:
Ensure that the front desk area is clean and organized. Follow company policies regarding visitor access and security procedures.OTHER DUTIES

Education:
High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.Experience:
2-3 years previous experience as a receptionist or in a customer service role preferred.Skills:
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Professional appearance and demeanor.
- Ability to handle confidential information with discretion.
