Administrative Assistant Hours:
7:30 a.m. to 5:00 p.m. Monday-Thursday 8:00 a.m. to 12:00 p.m. Friday Company Overview Tremcar USA is a leading tank trailer manufacturer in North America, serving nearly 5,000 customers in its factories located in Saint-Jean-sur-Richelieu (Quebec), St-Cesaire (Quebec), London (Ontario), Strasburg (Ohio), and Haverhill (Massachusetts). We specialize in producing high-quality tank trailers and trucks for the transportation of various liquid and dry products. Job Summary We are seeking a dynamic, organized, and service-oriented Receptionist/Administrative Assistant to join our team. In this vital role, you will be the first point of contact for visitors and callers while also providing administrative and employee support throughout our manufacturing operations. This position will support the administrative needs of all four to five Tremcar buildings/facilities in the Strasburg operation and will work closely with employees, management, sales representatives, vendors, customers, and visitors. The ideal candidate is organized, dependable, professional, and comfortable handling a variety of responsibilities in a fast-paced manufacturing environment. This is an excellent opportunity for someone who enjoys working with people, staying organized, helping others, and taking on a variety of administrative responsibilities. Training will be provided, and a background in workplace safety or a willingness to learn and develop knowledge of safety practices is highly valued. Duties
  • Greet visitors warmly and professionally, ensuring a positive first impression for all who enter the office.
  • Manage multi-line phone systems by answering, screening, and directing calls with courteous phone etiquette.
  • Handle incoming and outgoing correspondence, including emails, mail, packages, and other communications.
  • Maintain organized filing systems, both physical and digital, to ensure easy access to documents.
  • Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office programs.
  • Support office management by coordinating appointments, scheduling meetings, and managing calendars.
  • Provide customer and employee support by addressing questions and directing inquiries to the appropriate individual or department.
  • Maintain office supplies and assist with ordering and inventory management as necessary.
  • Proofread documents for accuracy and clarity before distribution or filing.
  • Prepare, copy, organize, and distribute administrative materials , including new hire paperwork, employee handbooks, applications, measurement tests, forms, and other documents requested by management or employees.
  • Prepare and send marketing materials and promotional items to Tremcar sales representatives as requested.
  • Laminate and prepare documents, labels, signs, and other materials for the Parts Room and other departments.
  • Assist with employee uniform administration , including collecting employee uniform orders, distributing completed orders, tracking orders, and coordinating exchanges and returns.
  • Assist with planning and coordinating company events and employee activities , including luncheons, holiday events, employee appreciation activities, meetings, and other company functions.
  • Coordinate food and catering orders , including placing orders, arranging deliveries, and picking up lunches or other food items when needed.
  • Create flyers, invitations, announcements, and other communications for company events and employee activities.
  • Assist with employee purchases and the coordination of Tremcar items , including handling employee purchases and coordinating vendor/customer donations of Tremcar merchandise or items.
  • Provide administrative support for employees and departments across the four to five buildings within the Strasburg operation , helping ensure consistent communication and support throughout the facility.
  • Assist with employee onboarding activities by preparing new hire materials, paperwork, handbooks, applications, tests, and other required documents.
  • Assist Human Resources with general administrative tasks and employee communications as needed.
  • Assist with company-wide administrative projects and special assignments as directed by management.
  • Maintain confidentiality when handling employee, company, customer, and business information.
  • Follow all company policies, procedures, and workplace safety requirements.
  • Develop and maintain an understanding of workplace safety practices and procedures; previous safety experience is a plus, but a willingness to learn is required.
  • Work cooperatively with employees, supervisors, managers, vendors, customers, and other departments to support the overall operation of the company.
  • Occasionally work outside standard business hours when needed to support company events, employee activities, meetings, or other business needs.
  • Perform other administrative and support duties as assigned. Skills & Qualifications
  • Proven experience in reception, office administration, administrative support, customer service, or a similar professional setting.
  • Strong computer literacy with proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong organizational skills with the ability to prioritize and manage multiple responsibilities in a fast-paced environment.
  • Excellent communication and interpersonal skills with a professional and friendly demeanor.
  • Demonstrated customer service skills and professional phone etiquette.
  • Strong attention to detail and accuracy when preparing paperwork and documents.
  • Strong typing, proofreading, and data entry skills.
  • Ability to maintain confidentiality and handle sensitive company and employee information appropriately.
  • Ability to work independently while also functioning effectively as part of a team.
  • Ability to communicate effectively with employees and management across multiple departments and buildings.
  • Ability to adapt to changing priorities and take initiative when additional support is needed.
  • Experience coordinating company events, employee activities, catering, or similar activities is a plus.
  • Previous experience in a manufacturing, industrial, or safety-focused environment is a plus.
  • Previous workplace safety experience or knowledge is preferred; however, candidates who are willing and eager to learn workplace safety practices will be considered.

  • Must be comfortable working in and around a manufacturing environment.
  • Must be able to follow required safety procedures and wear appropriate personal protective equipment when entering designated manufacturing areas.
  • Occasional work outside standard business hours may be required for company events, employee activities, or other business needs.

Pay:
