The role of the Receptionists / Scheduler is to support the day-to-day activities of the Crossings Community Clinic (CCC or Clinic) front desk, placing and answering phone calls, working closely with other clinic staff and volunteers to see that the clinic is functioning efficiently as a ministry with sensitivity and compassion for all we serve. Typical Clinic hours are Monday-Wednesday 8 am -5 pm and Friday 8 am-1 pm but actual days and hours of work are subject to Clinic needs or special events, which may require schedule flexibility including days and hours beyond or different from a typical work week. Organizational Relationships Reports to Crossings Community Clinic (CCC or Clinic) Operations Manager and will work collaboratively and interact regularly with various vendors, CCC staff and volunteers across the various departments and ministries, and locations, as well with partners of the Clinic to accomplish the goals and mission of the Clinic. Responsibilities/Duties Lead the day-to-day front desk activities Answer incoming phone calls and address the patient's needs at the point of call if possible Schedule patients for appointments with the appropriate provider Engage with clients for the services we offer; schedule appointments and in some cases refer clients to other sources of care. Maintain client information in electronic medical records and other locations for medical documentation as needed. Respond to outside requests for medical records in a timely fashion. Prepare patient charts for future appointments. Create and maintain the schedule for administrative volunteers. Assist in the training, encouraging and nurturing administrative volunteers. Assist with maintain providers availability within EPIC Assist in policy review when requested to improve patient care, clinic flow, and provider efficiency. Practice good stewardship in utilizing clinic resources. Become familiar with and follow all clinic policies, protocols, and procedures. Assist in maintaining the highest possible clinic standards and professional ethics in accordance with the goals, Purpose Statement, and Core Values of Crossings Community Clinic Support the leadership of CCC, contributing to the spirit of unity among the staff and patients Represent the Clinic in civic and clinic-related efforts as approved Complete any other duties or tasks to accomplish responsibilities associated with this position or as may be needed or assigned to fulfill the needs, mission and goals of the Clinic Knowledge, Skills, and Abilities Experience with medical office operations and a passion for service of the under-resourced. Bilingual (Spanish/English) is required. Recognize, process, maintain, and protect confidential information in accordance with applicable laws and regulations Ability to form and maintain vibrant relationships that point people to Jesus. Must be an organized self-starter possessing intermediate computer skills. Must have demonstrated strong interpersonal, verbal and written communication skills. Demonstrated ability to work both independently and in a team environment. Can manage multiple tasks effectively and efficiently, with the ability to appropriately prioritize. Computer proficiency including database management, Microsoft Office Suite, Google Suite Possess a current unrestricted driver's license.
