Job Description
Overview We are seeking a dynamic and highly organized Administrative Front Desk Coordinator to join our team. In this vital role, you will serve as the first point of contact for visitors, and staff, ensuring a welcoming and efficient front office environment. Your energetic approach will help streamline daily operations, manage interactions, and support staff with precision and professionalism. Key Responsibilities Office Coordination & Supply Management Assist in ensuring office equipment and shared spaces remain functional, clean and organized Maintain cleanliness and organization of common areas, including both lunch rooms and meeting spaces Coordinate ordering of office and shared supplies as needed Monitor inventory levels of commonly used office materials and replenish accordingly Support overall office organization and workflow efficiency Administrative & Clerical Support Support administrative staff with project-based tasks and ongoing office needs Maintain organized electronic and physical filing systems Manage incoming and outgoing mail, packages, and internal document distribution Prepare, format, and distribute correspondence, documents, and internal materials Perform clerical tasks such as data entry, scanning, copying, and filing with accuracy Assist in maintaining records, logs, and general documentation Front Office & Communication Attend daily morning meeting huddle Answer, screen, and route incoming telephone calls in a timely and professional manner Greet and assist visitors, clients, and vendors upon arrival with a courteous and professional demeanor Provide general information and direct inquiries to appropriate staff or departments Take and accurately relay messages to ensure clear and timely communication Maintain a clean, organized, and professional reception area Scheduling & Internal Coordination Assist with calendar coordination for staff or departments as assigned Support scheduling of meetings and conference room reservations Communicate effectively with internal teams to support coordination of daily activities Assist with basic logistics for meetings or office activities when required Customer Service & Professional Interaction Respond to inquiries from staff, clients, and external partners in a timely and professional manner Attend bi-weekly all company meetings and take notes Assist with monthly newsletter Maintain a positive, service-oriented approach in all interactions Ensure accurate communication and follow-through on messages and requests Support a professional and welcoming office environment at all times Qualifications High school diploma or equivalent required (a college degree is a plus) Previous experience in an administrative, office support, or front desk role preferred Strong communication and interpersonal skills Ability to manage multiple priorities in a fast-paced environment Professional demeanor with strong attention to detail and reliability Basic proficiency in Microsoft Office Suite (Outlook, Word, Excel) Skills & Competencies Strong organizational and time-management skills Excellent verbal and written communication abilities Ability to handle multiple phone lines and competing requests High level of accuracy in clerical and data entry tasks Ability to work independently and collaboratively within a team environment Strong customer service mindset and professional presence Work Environment This role is based in a professional office setting with frequent interaction with employees, visitors, vendors, and external contacts. The position requires adaptability in managing interruptions, shifting priorities, and varying levels of activity while maintaining a high standard of professionalism. Physical Requirements Ability to sit or stand for extended periods Frequent use of standard office equipment including phones, computers, printers, and copiers Occasional lifting of up to 25 pounds Ability to move throughout the office environment as needed
