Job Overview We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing excellent customer service, and supporting administrative functions across the organization. The ideal candidate will be proficient in office management, possess strong communication skills, and have experience with various office software and systems. Bilingual abilities are a plus, as well as experience in medical or dental reception. Duties Greet visitors and clients in a courteous and professional manner at the front desk Manage multi-line phone systems, direct calls, and take messages accurately Schedule appointments and manage calendars using Google Workspace or Microsoft Office tools Perform data entry, maintain filing systems, and ensure records are up-to-date Handle correspondence via email and phone support, providing excellent customer service Assist with billing, bookkeeping, and QuickBooks entry as needed Support office management tasks such as proofreading documents, organizing files, and managing supplies Coordinate with team members to ensure efficient daily operations Provide administrative support to various departments including medical or dental reception duties if applicable Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong organizational skills with excellent time management abilities Experience with office management systems and clerical tasks Knowledge of multi-line phone systems and phone etiquette Ability to perform data entry with high accuracy and speed (typing skills) Bilingual communication skills are preferred for enhanced customer support Familiarity with QuickBooks, bookkeeping, calendar management, and proofreading is advantageous Previous office experience or administrative background is highly desirable Exceptional customer service skills with a friendly demeanor Ability to handle confidential information discreetly and professionally This position offers an engaging work environment where organizational skills and professionalism are valued.
