Position Summary:
The Front Desk Associate is responsible for creating a welcoming and professional first impression for all MedSpa clients. This role manages scheduling, client communications, check-in/check-out, and supports daily operations while delivering exceptional customer service and ensuring a seamless client experience. Key Responsibilities Greet clients in a friendly, professional, and welcoming manner Schedule, confirm, and manage appointments for MedSpa services Answer phone calls, emails, and text inquiries in a timely manner Educate clients on services, promotions, and membership options Check clients in and out, collect payments, and process transactions Maintain accurate client records in EMR or scheduling system Assist with retail product sales and recommendations Coordinate provider schedules to maximize efficiency Manage wait times and ensure smooth client flow Maintain cleanliness and organization of the front desk and lobby area Support intake forms, and consent documentation as needed Address client concerns and escalate when appropriate Support social media efforts
Requirements:
High school diploma or equivalent required 1+ year of front desk, customer service, or MedSpa experience preferred Experience with scheduling software or EMR systems preferred Sales experience or comfort discussing services/products preferred Strong communication and interpersonal skills Excellent customer service and client experience skills Strong organizational and multitasking abilities Professional appearance and demeanor Attention to detail and accuracy Ability to work in a fast-paced environment Sales-minded with a service-focused approach
