We are seeking a dynamic and detail-oriented Receptionist/Administrative Assistant to join our professional team. This role is essential in maintaining smooth daily operations, providing exceptional customer service, and supporting administrative functions across the organization. The ideal candidate will possess strong organizational skills, technical proficiency, and a welcoming demeanor to foster a positive environment for clients and staff alike. Duties Answer and direct phone calls; greet clients and prepare meeting room; organize, schedule and confirm appointments Obtain, sort and distribute mail as well as prepare and make deposits for billing clients (requires daily driving to post office and/or banks) Write and distribute email, letters, faxes and forms to clients and staff Manage and organize office supplies and office breakroom; coordinate with vendors for repairs and maintenance when needed Coordinate internal employee setup for printers, phones and other basic office needs. Assist Controller with remote deposits and transaction entry into QuickBooks Assist billing department with mailing statements Perform data entry tasks with high accuracy using spreadsheets and productivity software such as Microsoft Office Word and Excel. Compile and mail tax organizers and returns; manage obtaining required signatures and proper documentation - planned in advance overtime hours may be required during tax season (February - April) Requirements Proven clerical experience with a strong background in office management and administrative support. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills. Experience using multi-line phone systems and delivering exceptional customer service via phone communication. Familiarity with QuickBooks or similar accounting software is preferred. Excellent organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment. Strong typing skills with high accuracy for data entry and document proofreading. Demonstrated professionalism in front desk duties including phone etiquette and client communication. Technical proficiency in productivity software, spreadsheets, and general computer skills required for daily operations. Previous office experience or personal assistant experience is advantageous for understanding workflow dynamics. Must have reliable transportation to drive to post office and banks
