This role serves as a welcoming point of contact for program participants, staff, and community partners while assisting with scheduling, recordkeeping, communication, and office coordination. Key Responsibilities Greet and assist clients, visitors, and community partners in a professional and respectful manner Answer and direct phone calls, emails, and inquiries Schedule appointments, orientations, meetings, and program services Maintain client files, intake forms, and confidential records Perform data entry and update participant information in databases and case management systems Prepare correspondence, reports, spreadsheets, and other administrative documents Assist staff with copying, scanning, filing, and document organization. Monitor office and program supplies and coordinate inventory/orders as needed Support program staff with clerical tasks and daily office operations Maintain confidentiality and comply with agency policies and procedures Assist participants with basic information regarding program services and referrals Help maintain a clean, organized, and welcoming office environment Experience Proven office experience with a strong background in administrative support or clerical roles Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with front desk operations, multi-line phone systems, and customer service is essential Prior experience in personal assistant roles or office management will be considered an asset High school diploma or equivalent required; associate degree preferred Experience in reception, administrative support, clerical work, or customer service preferred Strong organizational, communication, and multitasking skills Proficiency in Microsoft Office and basic office equipment Ability to work with diverse and justice-involved populations respectfully and professionally Bilingual skills may be preferred Skills & Competencies Customer service and communication Office administration and organization Data entry and record management Attention to detail and confidentiality Time management and multitasking Professionalism and teamwork Work Environment Office-based environment within a community or social services setting Frequent interaction with clients, staff, and partner agencies Fast-paced environment requiring flexibility and professionalism
