We're looking for motivated individuals who take pride in delivering outstanding service while working collaboratively within a dynamic team. Position Overview The Office Support Specialist plays a key role in ensuring every client's experience is seamless from check-in to check-out. You'll support the daily office flow, assist providers, and help maintain our high-end atmosphere. This position involves handling a high volume of phone calls and client text messages. You will be answering scheduling inquiries, assisting with appointment bookings, and educating clients on treatments both over the phone and in person. Responsibilities Greet and assist clients with professionalism Ensure client health history forms are current and provide or collect any necessary paperwork prior to treatments Answer back-to-back phone calls and respond to client texts regarding scheduling, treatment information, rewards programs, and promotions in a courteous manner Process reward programs and payments accurately Maintain a polished, organized front desk and lobby area Maintain confidentiality and HIPAA compliance at all times Assist with additional administrative tasks as needed Qualifications Experience in a med spa, medical office, or luxury service environment preferred Strong attention to detail and ability to multitask in a fast-paced setting Familiarity with EMR or scheduling software a plus Work Environment Light physical activity (Standing, walking, occasional lifting up to 20 lbs)
