About the Role As our Receptionist, you're the heart of our front office, the first voice callers hear, and the first face clients see when they walk through our door. Many of our clients are injured workers or disability claimants navigating one of the most stressful chapters of their lives. Your warmth, patience, and professionalism set the tone for their entire experience with our firm. This is a full-time, in-person, five-days-a-week role. We're looking for someone who genuinely thrives on being present with people, not someone looking for remote flexibility or a quiet, low-contact environment. If you love the energy of a busy front desk and the satisfaction of helping someone feel taken care of, you'll fit right in. If in-person, client-facing work isn't your ideal day, we will have other roles in the future to apply to. This role is also a launching pad. We invest in our front-of-house team members and look to grow them into greater responsibility over time. Prior law firm experience is a nice-to-have, but what we value most is a background in hospitality, service, or customer care, someone who already knows how to make people feel welcomed and heard. What You'll Do Be the face and voice of our firm Staff the reception desk during business hours; greet and check in visitors, answer and route incoming calls, take accurate messages, and notify staff of arrivals. Keep clients informed and supported Complete daily appointment and hearing reminder calls from the call list. Complete quick-version intakes for new callers when the Client Advocate is unavailable, using the firm's intake script. Keep the office running smoothly Scan incoming mail and affix postage to outgoing mail the same business day; route scanned items to the back office for entry into the case management system. Prepare and complete UPS/FedEx/DHL drop-offs, as scheduled. Fax medical record requests as assigned. Meter, match, organize, and store certified mail cards per the firm's certified-card procedure.
