Job Description

Job Summary We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks. Your positive attitude, organizational skills, and ability to handle multiple responsibilities with professionalism will ensure a smooth and efficient workplace environment. Duties Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring a positive first impression. Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette. Handle incoming and outgoing correspondence, including emails, mail, and packages, ensuring timely distribution. Maintain appointment calendars and coordinate scheduling for meetings or appointments using calendar management tools. Perform data entry, filing, and document proofreading to ensure accuracy and organization of records. Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports and manage office documentation. Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and maintaining a clean and organized reception area. Assist with clerical duties including typing reports, managing customer support inquiries, and providing administrative support as needed. Wednesday - Saturday 8:30 AM to 5:30 PM Experience Prior office experience or administrative roles demonstrating strong organizational skills and multitasking abilities. Proven customer service experience with excellent communication skills in person and over the phone. Familiarity with multi-line phone systems, data entry, filing systems, and basic bookkeeping is highly desirable. Bilingual abilities are a plus to effectively serve diverse clients and staff members. Proficiency in Microsoft Office (Word, Excel), Google Workspace tools (Gmail, Calendar), and general computer literacy required. Experience in reception or as a personal assistant is advantageous but not mandatory. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
