Job Description
Position Summary:
We are seeking a dynamic & organized Receptionist / Service Specialist to join our team! In this role, you will be the primary point of contact for clients, visitors, and callers while supporting advisors with life insurance service requests and inquiries. This role supports daily office operations through client communication, service request coordination, and administrative assistance, while contributing to a positive client experience and strong advisor support. Key Responsibilities Reception & Client Service Greet clients and visitors warmly and professionally, in person and by phone Answer a multi-line phone system, and screen and direct calls to advisors or appropriate staff using professional phone etiquette Assist with client support by providing basic information regarding life and health insurance services, office procedures, and next steps Manage front desk operations by handling incoming and outgoing mail, applications, and office correspondence Maintain a clean, organized, and welcoming reception area Life & Health Insurance Service Requests • Policy holder-Account Service (Name change, Beneficiary change, address change, withdrawals, surrenders, death claims and illustrations) Prepare standard insurance forms and routine client correspondence Accurately document service requests into the agency CRM system Route requests to advisors, case managers, or carriers as appropriate Communicate clearly and professionally with clients regarding service request status Track and follow up on open requests to ensure timely completion Maintain strict confidentiality and comply with insurance regulations, HIPAA guidelines, and office procedures Administrative & Advisor Support Assist with scheduling appointments and managing advisor calendars Perform data entry, scanning, filing, and electronic document management Print, prepare, and mail birthday, anniversary & holiday cards on behalf of multiple advisors Maintain card schedules, mailing lists, and supplies to ensure timely and accurate delivery Order, monitor, and maintain office supplies to ensure adequate inventory for daily operations Support advisor relationship-building initiatives and office marketing efforts as needed Assist with special projects and initiatives as neededRequired Qualifications:
3+ years of experience in a receptionist, administrative, or customer service role Excellent written and verbal communication skills. Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint), CRM systems, and document management platforms (e.g., cloud-based Office 365, DocuSign, Adobe) Ability to multitask, prioritize, and work effectively in a client-focused environment Highly organized and detail-oriented with a high degree of accuracy Strong customer service skills Demonstrates a high degree of discretion and professionalism in handling confidential client and business informationPreferred Qualifications:
Associate's or Bachelor's degree. General knowledge of insurance terms, processes, and regulatory requirements. Experience supporting licensed producers or agency executives.
