Job Description
POSITION SUMMARY VIP
Sports Getaway is seeking a professional, organized, and dependable Administrative Assistant / Receptionist to serve as a key point of contact for our office and provide administrative support across the organization. This position is often the first interaction employees, clients, vendors, visitors, and other business contacts have with VIP Sports Getaway. The ideal candidate will bring a welcoming and professional presence, excellent communication skills, strong attention to detail, and the ability to manage multiple priorities while maintaining confidentiality. The Administrative Assistant / Receptionist will support day-to-day office operations, coordinate schedules and meetings, maintain organized records, and ensure requests and information are routed promptly to the appropriate department or team member.KEY RESPONSIBILITIES
Front Office & Communication- Serve as a professional and welcoming first point of contact for visitors, callers, vendors, employees, and other business contacts.
- Answer, screen, and route incoming telephone calls and general inquiries to the appropriate person or department.
- Receive and appropriately distribute mail, deliveries, correspondence, and documents.
- Respond to routine questions and provide general information in a courteous and professional manner.
- Identify urgent or sensitive matters and promptly escalate them to the appropriate member of leadership. Administrative Support
- Provide general administrative and clerical support to leadership and departments as assigned.
- Manage calendars, appointments, meeting schedules, and related logistics.
- Prepare, organize, distribute, and maintain correspondence, documents, files, and other business records.
- Assist with meeting preparation, including scheduling, gathering materials, coordinating logistics, and tracking assigned follow-up items.
- Maintain organized electronic and physical filing systems.
- Assist with ordering and maintaining office supplies and other routine office needs.
- Perform data entry and other administrative tasks accurately and efficiently. Document & Request Coordination
- Receive and appropriately route documents and requests related to payroll, human resources, finance, operations, and other business functions.
- Ensure documents and requests reach the appropriate authorized individual in a timely manner.
- Track assigned administrative follow-up items and communicate status updates when appropriate.
- Maintain appropriate boundaries of authority and avoid making commitments or approvals outside the scope of the position. Confidentiality & Professionalism
- Handle employee, payroll, financial, operational, and other confidential business information with a high level of discretion.
- Maintain professionalism when dealing with sensitive or confidential situations.
- Follow established company procedures regarding records, documents, communications, and confidential information.
- Represent VIP Sports Getaway professionally through all verbal, written, and in-person interactions.
DECISION-MAKING AUTHORITY
This position is responsible for administrative coordination and execution of approved office procedures. The Administrative Assistant / Receptionist may independently handle routine administrative matters within established company guidelines but does not have authority to approve or make final decisions regarding:- Payroll or compensation matters
- Hiring, termination, disciplinary action, or other HR decisions
- Company spending or financial commitments unless specifically authorized
- Contracts or agreements on behalf of the company
- Material operational or policy changes Questions or requests outside the position's authority should be referred to the appropriate department or the
COO. QUALIFICATIONS
- Previous administrative assistant, receptionist, office support, or similar professional experience preferred
- Strong verbal and written communication skills
- Excellent organizational and time-management abilities
- Strong attention to detail and accuracy
- Ability to manage multiple responsibilities and changing priorities
- Ability to communicate professionally with individuals at all levels of the organization
- Demonstrated discretion when handling confidential or sensitive information
- Basic proficiency with computers, email, calendars, word processing, spreadsheets, and other common office systems
- Ability to work independently while recognizing when an issue should be escalated
- Dependable attendance and professional workplace conduct Telecommunications & Phone Etiquette Qualifications Ability to learn and operate multi-line corporate phone systems (PBX / VoIP / Google Voice for Business).
