Responsibilities Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness Maintain organized filing systems, including digital spreadsheets and paper records, ensuring easy retrieval of information Support calendar management by scheduling appointments, meetings, and coordinating conference room bookings Perform data entry tasks with high accuracy using productivity software such as Microsoft Office and QuickBooks Assist with general office management duties including inventory tracking, supply ordering, and maintaining a clean reception area Provide exceptional customer support by addressing inquiries professionally and escalating issues when necessary Proofread documents for clarity and accuracy before distribution or filing Support administrative tasks such as word processing, document preparation, and basic clerical duties to enhance office efficiency Experience Proven experience in office administration or reception roles with a strong background in customer service Familiarity with multi-line phone systems and professional phone communication skills Proficiency in Microsoft Office suite (Word, Excel, Outlook) along with spreadsheet management skills Experience using QuickBooks or similar accounting software is preferred but not required Demonstrated ability to manage multiple tasks efficiently with excellent organizational skills Bilingual abilities are a plus to effectively communicate with diverse clients and visitors Strong computer literacy including data entry, file management, proofreading, and technical proficiency in productivity software Join us to be part of a vibrant team dedicated to delivering outstanding service while honing your administrative expertise!
