In this vital role, you will manage front desk operations, handle phone systems, and provide exceptional customer service to visitors and clients. Your proactive approach and excellent communication skills will ensure smooth office management and create a positive first impression for everyone who enters our doors. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere at all times Manage phone systems, screen calls, take messages, and transfer inquiries efficiently Maintain the front desk area, including filing, organizing documents Support office management tasks such as calendar scheduling, appointment setting, and data entry using Microsoft Office and Google Workspace tools Handle clerical duties including proofreading documents, managing correspondence, and maintaining accurate records Assist with customer support by addressing inquiries promptly and courteously via phone or email Perform general administrative tasks such as filing, photocopying, and updating databases with computer literacy skills Qualifications Proven office experience with strong organizational skills and attention to detail Excellent computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software Experience with multi-line phone systems and phone etiquette that fosters positive interactions Bilingual abilities are highly desirable to serve diverse client needs effectively Strong clerical skills such as proofreading, filing, and document management Prior experience in reception roles within medical or dental offices is a plus but not required Ability to manage time efficiently while handling multiple tasks in a fast-paced environment Personal assistant or administrative experience that demonstrates excellent organizational and customer service skills Join us to be an essential part of a vibrant team where your organizational talents shine!
