We are a growing, patient-focused practice supporting walk-in and scheduled visits, and we're building out our front office team to keep pace with patient volume. This role is central to the patient experience — often the first and last point of contact for everyone who walks through our door. Position Summary The Front Desk Coordinator manages check-in/check-out, scheduling, insurance verification, and day-to-day patient communication for Bay Colony Physicians. This person keeps the front office running smoothly during high call and walk-in volume, ensures accurate patient records in Athena EMR, and works alongside the practice's automated phone and scheduling tools to make sure no patient falls through the cracks. Key Responsibilities Greet and check in/check out patients; verify and update demographic and insurance information at every visit. Answer, triage, and route incoming calls; manage a high-volume multi-line phone system alongside the practice's automated call-handling tools. Schedule, reschedule, and confirm patient appointments in Athena EMR; manage the daily schedule for walk-in and scheduled visits. Collect co-pays, outstanding balances, and process associated documentation at time of service. Verify insurance eligibility and benefits prior to visits; flag coverage issues to billing before they become denials. Maintain accurate, HIPAA-compliant patient records and scanned documents in the EMR. Coordinate with clinical staff and providers to keep patient flow on schedule and communicate delays. Handle patient inquiries, referral requests, and prescription refill routing professionally and promptly. Support front-office reporting (no-show tracking, schedule gaps) as requested by practice leadership. Qualifications High school diploma or equivalent required; some college or medical office training preferred. 1-2 years of front desk / patient service experience in a medical or healthcare setting preferred. Experience with an EMR system required; Athena EMR experience strongly preferred. Comfortable managing high call volume on a multi-line phone system without losing composure or accuracy. Strong customer service, communication, and multitasking skills. Working knowledge of insurance verification, co-pay collection, and basic medical office billing concepts. Bilingual (English/Spanish) a plus. Reliable, punctual, and comfortable in a fast-paced, patient-facing environment.
