In this pivotal role, you will manage front desk operations, coordinate administrative tasks, and ensure exceptional customer service for visitors, patients, and staff alike. Your leadership will set the tone for a professional, organized, and friendly environment. The ideal candidate is bilingual, highly organized, and possesses strong office management skills to streamline daily operations and foster positive client interactions. Duties Oversee front desk activities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Manage office operations such as filing, calendar management, appointment scheduling, and document proofreading to ensure smooth workflow Supervise and support front desk staff, providing guidance on clerical procedures and customer service standards Maintain accurate records of visitor logs, client communication, and office supplies inventory Coordinate with other departments to facilitate effective communication and administrative support Handle confidential information with discretion while providing exceptional customer support and client communication Assist with personal assistant responsibilities such as managing calendars, scheduling meetings, and preparing correspondence Qualifications Proven experience in office management or administrative roles with a focus on front desk operations Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and general computer skills Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are highly preferred to serve diverse client needs effectively Demonstrated experience in phone answering, multi-line phone systems, and phone reception etiquette Clerical experience including filing, typing, proofreading, and data entry with high accuracy Exceptional customer service skills with a professional demeanor and strong client communication abilities Prior experience in personal assistant or administrative support roles is advantageous Ability to manage time effectively while handling multiple responsibilities simultaneously Join us to lead our front desk team with enthusiasm and professionalism!
