Job Summary We are seeking an energetic and highly organized Secretary/Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional administrative support to ensure smooth daily operations. This paid position offers an exciting opportunity to develop your office management expertise while supporting a dynamic team. Duties Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly Answer and direct incoming calls using multi-line phone systems with excellent phone etiquette Manage front desk activities, including scheduling appointments and maintaining visitor logs Handle clerical tasks such as filing, scanning, data entry, proofreading, and document preparation using Word processing and other software Assist with calendar management and coordinate meetings for team members or executives Support office management tasks including supply inventory, mail distribution, and maintaining organized filing systems Provide customer service support by responding to inquiries via phone or email and ensuring client communication is clear and courteous Qualifications Ability to maintain confidentiality of records Strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy Detail oriented and ability to proof read documents Excellent phone answering skills with knowledge of multi-line phone systems and phone etiquette Strong time management skills to prioritize tasks efficiently in a fast-paced environment Personal assistant or front desk experience is a plus, along with familiarity in handling client communication and customer support duties Courteous disposition in dealing with customers and coworkers Willingness to learn new tasks and take direction
Pay:
$16.00 - $18.00 per hour
