Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will be the first point of contact for visitors and clients, ensuring a welcoming and professional environment. You will handle a variety of administrative tasks, manage communication channels, and support office operations with efficiency and enthusiasm. Your proactive approach and excellent organizational skills will help keep our office running smoothly, fostering a positive experience for everyone who walks through our doors. Duties Greet visitors, clients, and vendors with professionalism and warmth, providing exceptional customer service at all times Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette Maintain and update schedules, calendars, and appointments to ensure seamless office operations Perform data entry tasks using spreadsheets, word processing, and productivity software to support administrative functions Handle filing, document proofreading, and general clerical duties to keep records organized and accessible Assist with office management responsibilities such as supply inventory, mail distribution, and basic troubleshooting of office equipment Support client communication efforts by preparing correspondence, managing inquiries, and ensuring timely follow-up Experience Proven experience in office administration or front desk roles with strong clerical skills Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and proficiency in data entry and spreadsheet management Experience using QuickBooks or similar accounting software is a plus Excellent computer literacy including familiarity with productivity software and technical proficiency in office tools Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Bilingual abilities are highly desirable to assist diverse client needs Previous experience in customer service or personal assistant roles demonstrating superior phone communication skills and professionalism Join us to be part of a vibrant team dedicated to delivering exceptional support while growing your career in a lively, engaging environment!
