This vital role combines front desk management, client communication, and administrative support to ensure a smooth and efficient office environment. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, with the ability to handle multiple responsibilities with enthusiasm and professionalism. Bilingual abilities are a plus, enabling effective communication with diverse clients and visitors. This is an in-person, full-time position based at our Houston office. Duties Greet clients, visitors, and vendors warmly, ensuring they feel welcomed and attended to promptly Answer multi-line phone systems with professionalism, practicing excellent phone etiquette and providing accurate information or routing calls appropriately Take clear, accurate messages and route them to the right attorney or staff member promptly Manage front desk operations including scheduling appointments, maintaining calendars, and coordinating meetings Support office management by organizing supplies, maintaining cleanliness, and overseeing general administrative functions Assist with client communication via email or phone, ensuring clear and courteous interactions at all times Accept client payments in person and by phone, issue receipts, and log each payment accurately per office procedure Handle sensitive client and case information with discretion and confidentiality at all times Perform basic word processing and document preparation using Microsoft Office applications such as Word and Excel Qualifications Proven office management or administrative experience in a professional setting, preferably within a legal environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and familiarity with multi-line phone systems Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Exceptional customer service skills coupled with professional phone reception abilities and phone etiquette Bilingual fluency is highly desirable to facilitate communication with diverse clients and visitors Demonstrated clerical experience including proofreading, typing, and calendar management Strong interpersonal skills for client communication and support roles Ability to handle confidential information discreetly while maintaining high levels of accuracy and attention to detail Ability to multitask without being overwhelmed Ability to work in a team environment effectively, efficiently, and professionally with attorneys and non-attorneys on a consistent, daily basis Ability to operate scanners, copiers, and printers Excellent communication skills (verbal and written) required Excellent interpersonal skills to ensure visitors are made to feel welcome Why Join Us A supportive, close-knit team environment Opportunities to grow within the firm as you build experience Steady, full-time hours in a stable, professional office setting Requirements High school diploma or equivalent, some college preferred Two years of relevant work experience Preferences Bilingual in English and Spanish preferred, but not required Experience in a professional environment References are strongly recommended
