Job Overview We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This energetic role is vital in creating a welcoming environment for visitors and clients while ensuring smooth office operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact, manage administrative tasks, and support office management to keep everything running efficiently. Responsibilities Greet visitors and clients warmly, ensuring a positive first impression Manage multi-line phone systems, directing calls accurately and professionally Handle front desk duties including scheduling appointments and maintaining visitor logs Perform data entry, filing, and record keeping with precision and attention to detail Support office management tasks such as calendar management, appointment setting, and correspondence Utilize Microsoft Office, Google Workspace, and other computer skills to prepare documents, reports, and presentations Assist with bookkeeping activities using QuickBooks or similar accounting software when needed Maintain organized files and ensure all clerical materials are up-to-date and easily accessible Provide excellent customer service by addressing inquiries promptly and courteously Support team members with personal assistant tasks or administrative support as required Welcome visitors and answer incoming calls Manage scheduling, office communications, and front desk operations Assist with invoicing, record keeping, and administrative documentation Support office management and daily business operations Coordinate office supplies, files, and internal administrative tasks Maintain a professional and organized office environment Qualifications Minimum Associate Degree or Bachelor's Degree Strong communication and customer service skills Basic computer proficiency (Microsoft Office, Google Docs, Email, Scheduling, etc.) Knowledge of accounting software such as QuickBooks or similar platforms preferred Experience or understanding of office management and administrative coordination Ability to manage phone calls, invoicing, filing, and office operations Professional attitude with strong organizational and multitasking skills Ability to work in a fast-paced office environment Spanish-speaking candidates are highly preferred Female candidates preferred for this position Proven office experience with strong clerical skills and organizational abilities Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Experience with multi-line phone systems and phone etiquette standards Familiarity with QuickBooks or other bookkeeping software is preferred Bilingual abilities are a plus for effective communication with diverse clients and staff Excellent typing speed and data entry skills for efficient workflow management Strong organizational skills with the ability to prioritize tasks effectively Previous experience in customer service or front desk roles is highly desirable Knowledge of medical or dental receptionist duties is advantageous but not required Personal assistant or office management experience will be considered a plus Join us to be part of a vibrant team dedicated to delivering exceptional service while supporting the daily operations of our organization.
