This is much more than a receptionist position . The front office is the first point of contact for our clients and plays an important role in supporting the entire firm. We are looking for someone who takes ownership of their work, anticipates what needs to be done, and can confidently manage multiple priorities while providing exceptional service to our clients and staff. The right candidate will be someone who doesn't wait to be told what to do . They notice what needs attention, follow through on assignments, communicate effectively, and take pride in helping the entire office operate efficiently. We have high expectations for this position . The person in this role will have significant interaction with clients and staff and must understand that professionalism, accuracy, dependability, and follow-through are essential. Responsibilities Serve as the primary point of contact for clients, visitors, and incoming calls. Provide administrative support to the entire firm, including the tax, accounting, and payroll teams. Manage scheduling, client communications, mail, documents, scanning, filing, and general office organization. Assist with client document collection, tracking, preparation, and distribution. Maintain accurate and organized records while handling confidential information with discretion. Monitor office needs, supplies, and administrative tasks to keep the office running efficiently. Assist with special projects and additional duties as needed. Take initiative, identify what needs to be done, and follow through without constant direction. Provide additional support and work extended hours as needed during tax season.
Skills & Qualifications Required:
Previous experience in an administrative, receptionist, office management, accounting, professional services, or customer-service environment Strong computer skills and the ability to learn new software quickly Excellent attention to detail Strong organizational and time-management skills Professional telephone and communication skills Ability to maintain confidentiality Ability to work independently with minimal supervision Ability to multitask and prioritize competing deadlines Strong spelling, grammar, and written communication skills Professional appearance and demeanor Reliable attendance and punctuality
Preferred:
Experience working in a CPA, accounting, payroll, or financial services office Experience with accounting or payroll software Experience working with confidential financial information Experience with Microsoft Office, Outlook, Excel, and document management systems Previous tax-season or professional office experience Tax season is our busiest time of year, and flexibility is required. The successful candidate must be willing and able to work extended hours during tax season , including additional hours when business needs require them.
