Full Job Description Position Summary:
The Front Desk Associate serves as the first point of contact for clients at our dog daycare and boarding facility. This role is essential in creating a positive experience for both the clients and their pets. The Front Desk Associate is responsible for handling all front desk operations, including client interactions, scheduling, and administrative tasks, with a strong emphasis on delivering exceptional customer service.
Key Responsibilities:
Customer Service Excellence:
Is committed to the Dogtown Operating System. (Company Values, Standard Work, Improvements, etc.) Strive to exceed client expectations by providing personalized service and building strong relationships with clients. Handle customer complaints or issues with professionalism, working to resolve them to the client's satisfaction. Gather client feedback and share it with management to help improve services and client experience.
Client Relations:
Greet clients and their pets warmly upon arrival, ensuring a friendly and professional atmosphere. Address client inquiries, concerns, and requests promptly and efficiently, both in-person and over the phone. Provide information about services, pricing, and policies, helping clients make informed decisions about their pet's care. Assist clients with the check-in and check-out process, ensuring all necessary documentation is completed accurately. Maintain regular communication with clients regarding their pet's stay, including updates on activities, behavior, and any incidents.
Scheduling and Reservations:
Manage appointment scheduling for daycare, boarding, grooming, and training services. Confirm reservations and follow up with clients on any changes or special requests. Coordinate with staff to ensure smooth transitions and availability of services. Front area
Appearance:
Ensure that the front desk, break room, training room, food room, laundry area, and bathrooms are kept clean and tidy complying with procedures, rules, and regulations
Administrative Tasks:
Process payments, issue receipts, and maintain accurate financial records. Maintain client files, ensuring all records are up-to-date, including vaccination and medical information. Monitor and manage inventory of front desk supplies, ensuring availability at all times. Assist with general office duties, including filing, data entry, and maintaining a clean and organized front desk area.
Facility Support:
Communicate with facility staff to relay client preferences, special instructions, or any issues that arise. Assist with the intake and outtake of dogs, ensuring all procedures are followed for a smooth process. Follow all cleaning rules and other policy and procedures for dog safety Feeding, medicating, bathing and nail trims for both large and small breeds Playing with dogs that may need special attention Support leadership in executing promotional activities and marketing initiatives.
Qualifications:
High school diploma or equivalent work experience. Previous experience in a customer service or receptionist role, preferably in the pet care industry. Excellent communication and interpersonal skills. Strong organizational skills and attention to detail. Ability to multitask and manage time effectively in a fast-paced environment. Proficiency in using computer systems and scheduling software.
Pay:
$14.00 - $16.00 per hour
