Job Description

Job Summary The Front Desk Coordinator plays a major role with creating a positive first impression to patients and positively representing National Scoliosis Center (NSC). This position involves providing exceptional service to patients, providing front office coverage, and ensuring patient calls and visits are handled professionally and with a high level of care. Duties Greet and check-in patients, collect Insurance Card, picture ID, prescription, Letter of Medical Necessity (LMN), X-ray, clinical notes, completed registration packet, and other documentation; Ensure documentation is saved in patient records Establish and build rapport with patients; Treat patients and their families with respect and per the Code of Ethics and Patient Care Standards described in this policy manual Escort patients to exam room and announce arrival to Orthotist and Radiology Technologist Prepare patient intake form for upcoming appointments Prepare registration forms for patients to complete upon arrival; Review completed registrations forms and ensure they are saved in the patient chart files Collect and update patient information as required for existing and returning patients, which includes obtaining height and weight, and answering patient questions Scan documents and place in patient records Collect payments, complete charge slips and forward to billing department Schedule follow up appointments (as required) and check out patients; Follow through with all expectations for patient visits Answer phones, establish caller's needs, and provide assistance; Transfer calls as appropriate upon completing information gathering process and obtaining detailed information (i.e. caller's name, patient's name, call back number, reason for call) Check voicemail and email messages periodically throughout the day Audit electronic chart for future appointments Confirm upcoming appointments for all NSC providers Protect PHI according to HIPAA standards Honor patient's rights as defined in the NSC Patient Bill of Rights and Responsibilities Identify any unsafe practices and conditions, and report to the owner as applicable Report any errors and/or complaints per the Performance Management Plan Straighten and clean exam rooms after each patient Ensure kitchen and coffee supplies are stocked; Clean kitchen area as needed Skills One to three years of experience working as a receptionist, front desk assistant or similar position; Prior experience working in a medical related field is a plus Proficiency in MS Office Suite Experience with Advanced MD (PM and EHR) and/or Electronic Medical Record Systems Knowledge of Patient Health Information under HIPAA Exceptional interpersonal skills and service orientation Strong organizational and prioritization skills; Demonstrated ability to effectively manage tasks with competing deadlines and priorities Excellent verbal and written communication skills Ability to work well in a fast-paced environment; Ability to maintain a high level of focus and concentration with frequent interruptions Ability to manage sensitive and confidential information Flexibility and adaptability Strong team orientation and ability to work effectively with others, as well as independently We encourage qualified candidates who are passionate about delivering exceptional service to apply for this exciting opportunity as a Front Desk Manager.
