In this vital role, you will manage incoming calls, handle client inquiries, coordinate case intake processes, and provide administrative support to ensure smooth office operations. Your energetic approach and exceptional organizational skills will help foster positive relationships with clients and team members alike, contributing to our mission of delivering outstanding service and support. Responsibilities Greet clients, visitors, and callers with professionalism and warmth, creating a positive first impression. Answer multi-line phone systems promptly using proper phone etiquette, directing calls accurately to appropriate staff members. Manage appointment scheduling, calendar coordination, and follow-up communications for case-related activities. Collect and verify client information efficiently during intake processes, ensuring accuracy and completeness. Maintain organized records of client interactions, case files, and office documentation using Microsoft Office applications and Cloudlex case management. Provide clerical support including data entry, proofreading documents, managing correspondence, and handling mail. Support office management tasks such as inventory control, supply ordering, and maintaining a tidy reception area. Qualifications Bilingual proficiency is highly preferred to serve diverse client needs effectively. Proven office management or administrative experience in a fast-paced environment. Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy. Excellent phone answering skills with knowledge of multi-line phone systems and phone etiquette. Demonstrated clerical experience including data entry and document organization. Exceptional organizational skills with the ability to manage multiple priorities efficiently. Legal assistant or calendar management experience is a plus to coordinate appointments seamlessly.
