Provide high-level administrative support by performing clerical functions such as greeting/directing visitors, answering telephone, distributing mail/faxes/copies, and handling information requests.
SUPERVISION
Incumbent reports directly to the Bills Payable Manager, and does not supervise other employees.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Operate telephone system to answer, screen and forward calls, provide information, and take messages;Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations;Collect, sort, distribute and prepare mail, messages, and courier deliveries;Transmit information or documents to customers, vendors, and/or company locations using computer, mail, or facsimile machine;Provide information about establishment such as location of departments or offices, employees within the organization, or services provided;Receive, place, and log special orders for parts and/or materials from stores;Receive and date stamp customer payments, and organize/maintain other customer related documents;Perform special projects and other duties as assigned from multiple departments.
