Job Overview We are seeking a dynamic and friendly Office Assistant/Receptionist to join our team! This vital role is the first point of contact for visitors and callers, ensuring a positive and professional experience. You will play a key part in maintaining smooth office operations, managing administrative tasks, and supporting daily business functions. Duties Greet visitors warmly, direct them appropriately, and manage check-in procedures with professionalism Answer incoming phone calls promptly using proper phone etiquette; route calls accurately to the relevant departments or personnel Manage front desk activities including scheduling appointments, handling mail, and maintaining visitor logs Perform data entry tasks with accuracy using Microsoft Office applications, Google Workspace, and QuickBooks as needed Organize and maintain office supplies, files, and records to ensure efficient access and storage Assist with clerical duties such as photocopying, scanning documents, and preparing correspondence Support team members with administrative tasks to streamline daily operations and improve office productivity Qualifications Proven office experience or administrative experience demonstrating organizational skills and multitasking ability Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry techniques Excellent phone etiquette with clear communication skills and a friendly demeanor Demonstrated organizational skills with attention to detail in managing files and schedules Experience HUD Section 8 Certification for Housing Applications or similar accounting software is a plus but not mandatory Clerical experience involving data entry, filing systems, or receptionist duties is highly desirable Join us in creating an energetic environment where your organizational talents shine!
